Refund & Cancellation Policy

1. Overview

At IXUX Studio, we deliver high-touch marketing consultancy, strategy, digital creative production, custom AI web/mobile application development, and executive AI workshops. Because our services involve bespoke strategy,technical allocation, billable expert hours, and dedicated creative resource commitments, all fees paid to IXUX Studio are governed by this Refund & Cancellation Policy.

By signing a Statement of Work (SOW), Master Services Agreement (MSA), booking a workshop, or making an advance deposit/retainer payment to IXUX Studio, you (“Client” or “Customer”) agree to the terms outlined below.

2. B2B Consultancy, Retainers & Agency Services

A. Advance Retainers & Deposits

  • Initial deposits and setup retainers paid prior to project kickoff are non-refundable. These funds reserve agency capacity, senior advisory allocation, and technical onboarding resources for your account.

B. Milestone & Time-and-Materials Billing

  • Payments tied to completed milestones, strategy deliverables, creative concepts, or billable hourly engagements are non-refundable once the work or milestone deliverable has been produced, presented, or delivered to the Client.

  • In the event of early project termination by the Client before a milestone is completed, IXUX Studio will invoice for all unbilled work, billable hours, and third-party expenses incurred up to the date of written termination notice. Any unused portion of prepaid funds after settling earned fees will be returned to the Client.

3. Custom AI Web & Mobile Application Development

A. Technical Architecture & Setup

  • Setup fees and initial technical architecture deposits for custom AI event applications, attendee interactive engines, or web tools are non-refundable once development, API integration setup, or database structuring has commenced.

B. Cancellation & Change Orders

  • If a Client cancels a custom application build mid-project, IXUX Studio will retain the non-refundable deposit plus a pro-rated fee covering all engineering, UI/UX design, and API integration work completed to date.

  • Requests to alter the scope, core functionality, or AI integrations after approval of the functional specification will be handled via a formal Change Order and may incur additional non-refundable fees.

4. Executive AI Workshops & Corporate Training

A. Client-Initiated Cancellations & Rescheduling

Notice of cancellation or rescheduling of private corporate masterclasses or executive workshops (such as The Augmented Leader) must be provided in writing to richardliew@ixuxstudio.com.

  • 14 or More Days Notice: Full refund of workshop fees paid, or 100% credit applied toward a rescheduled training date within 6 months.

  • 7 to 13 Days Notice: 50% refund of workshop fees paid, or 100% credit applied toward a rescheduled training date within 6 months.

  • Fewer than 7 Days Notice: Fees are non-refundable. Client may substitute alternate attendees from the same organization at no additional cost or transfer 50% of the fee toward a future rescheduled session within 6 months.

B. Agency Modifications or Cancellation

In the rare event that IXUX Studio must cancel or reschedule a workshop due to trainer illness, emergency, or force majeure:

  • IXUX Studio will offer the Client the choice between a 100% full refund of training fees paid or immediate priority rescheduling to a mutually agreeable date. IXUX Studio is not responsible for non-refundable travel or accommodation expenses incurred by the Client.

5. Out-of-Pocket & Third-Party Expenses

Fees paid toward third-party direct costs—including but not limited to ad platform spend (Meta, Google, LinkedIn),third-party AI API usage credits, venue hire, video production equipment rentals, talent fees, stock licensing, or specialized cloud hosting—are strictly non-refundable once committed or disbursed to third-party vendors.

6. Dispute Resolution & Service Concerns

If you are unsatisfied with the quality or direction of a specific deliverable:

  1. Formal Notice: Client must submit a written notification within seven (7) business days of receiving the deliverable, detailing the specific area of non-conformance relative to the agreed SOW.

  2. Cure Period: IXUX Studio will evaluate the request in good faith and provide up to two (2) rounds of reasonable revisions or technical adjustments within the original scope at no additional charge to bring the deliverable into compliance.

  3. Service dissatisfaction does not automatically entitle the Client to a cash refund for completed work or billable time spent.
